Ask them how their therapy is going and how their injury is feeling. Make them feel good and compliment them. Take notes on the things they told you about on their visit. Ask them how their niece's graduation was last week. If you take the time to show you care, it will go a long way. This will help decrease cancellations / no-shows, while also stimulating word of mouth for your practice.
If a patient does not complete their plan of care, he/she is not likely to be back next time. If a cancellation is made, make sure your receptionist calls them to reschedule. Automated text or call reminders before appointments can also prevent any no-shows.
Ask your patient, “How was your therapy?” If they respond, “Awesome!” or similar, ask them to write a thank you note to their doctor. Keep a stack of thank you notes and have them write it while they are in your clinic and mail it for them. Doctors will appreciate the thought from both their patient and you. Now, you have started a relationship with that doctor, which will help you generate additional referrals.
Along with the same point as above, if a patient has expressed their appreciation for his/her therapy, ask them to leave you a review. Facebook, Google and Yelp are a few of the best places for reviews. If your review average is high on Google, you will be listed higher in the rankings when searched. An e-blast is a simple communication tool in which you create a tailored message and send directly to your audience. There are great programs like MailChimp, iContact, and Constant Contact that make it easy to use e-blasts on a regular basis to reach your audience. You can use email to send information about an event, coupons, newsletters, etc. Remember, don’t hit your email list too hard. A good rule of thumb for a small business is every other week. And if you don’t have any special offers or tips to share, don’t force anything. Make sure the content is educational, entertaining or valuable to your patients.
